AI is a tool, not a plan

AI is useful when it reduces repetitive work or catches mistakes. If a normal script is cleaner, use the normal script.

AI can be useful. It can summarize, classify, draft, extract, route, compare, and answer questions over messy information. It can also turn a simple workflow into an expensive guessing machine if nobody defines the job clearly.

Start with the workflow

Before picking a model, write down the manual process. What comes in? What decision gets made? What output matters? Who checks it? What happens when it is wrong?

Use AI where uncertainty is normal

AI fits best where the input is messy: emails, PDFs, notes, transcripts, support messages, or rough requirements. It is often a bad fit for deterministic work like moving files, calculating totals, or validating required fields.

Keep the edges boring

The safest pattern is usually a normal workflow with one or two AI steps inside it. Log what happened. Keep a human review path. Make rollback boring.
